Supplies and Equipment
For "common" supplies and equipment, please use the "Order Form for Equipment and Supplies". A list of supplies and equipment that we keep in inventory will appear on this list. Requests for summer workshops should be completed and submitted to the Office of PTE prior to April 18, 2009. The EducatorSource program operates without a materials fee; therefore, we need your cooperation in limiting the amount of materials provided. Please inform participants of an appropriate per-student allotment and invite those who wish for more materials to bring their own. Requests for supplies or equipment not listed on the inventory list on the order form for equipment and supplies need to be requested on the Special Equipment Request Form.
If you need to purchase additional supplies and/or equipment not available from common supplies and equipment, the ordering procedure is based on the value of the purchase. Purchases under $50 can be made directly by the faculty member and reimbursed with receipts initialed by the Associate Dean of Graduate & Professional Studies. With prior approval from the Associate Dean, items may be purchased up to $500 and the invoice or receipt must be submitted to the College of Graduate & Professional Studies (CGPS). If the item exceeds $500, use the University's official requisition form. Contact the CGPS for a copy of this form; it will be needed rarely. If you are making a requisition in excess of $500, please work with the Associate Dean directly to prepare the paper work. Delivery of Supplies/Equipment
Delivery of your workshop materials and equipment, if any, must be worked out on an individual basis with the EducatorSource inventory office before the beginning of summer session. All faculty are expected to assist in any way possible with the delivery of materials to a workshop site. The EducatorSource central supply office will begin operating in Lyle Hall on May 5, 2009. Textbooks
Most workshop faculty do not require the purchase of textbooks, but provide ample handouts. If a textbook is required, the faculty member should order the book through the bookstore as soon as possible. If manuals and/or booklets compiled by faculty are to be sold to workshop participants, they must be printed by Student Services (basement of Student Center) and sold through the bookstore. The costs for these items are quite high, so prior to ordering printing through Student Services, please have your item estimated. If your estimated price is comparable to the usual textbook fee, you may proceed to place your order. If the price seems unreasonable, you need to consider some alternate ways to disseminate your information.
Handouts
Faculty are urged to prepare handouts well in advance of each workshop. We must allow adequate time for duplication. All requests for duplicating in the University Print Shop must be sent to the College of Graduate & Professional Studies (CGPS) PRIOR to the duplicating; the Associate Dean will sign the approval line for charge to this program. Please do not attempt to give the University Print Shop the organization number for the CGPS prior to approval. Please limit the number of handouts in order to keep costs low. The cost of duplicating is two cents a side. This means if you distribute ten handouts of ten pages each to 35 teachers in one workshop, your duplicating cost for one course is $70. That is a reasonable figure. Sometimes we receive requests that are far in excess of this amount. Last minute copying can be done in departmental offices. If your secretary keeps careful records, your department can be reimbursed up to two cents a copy. Do not undertake large copying tasks in your department without prior approval from the Associate Dean.
Copyright
Universities are subject to copyright infringement suits if they allow faculty to reprint copyrighted material without permission; therefore, the Millersville print shop is diligent about monitoring reproduction of our classroom handouts. Please do not request copies of articles from journals, books or magazines unless you have the publisher's permission. It is extremely important that you do not include a copyright-protected article in any manual or collection that will be sold to participants. A one-time use of an article is allowed for educational purposes; however, it is not legal to continue to hand out the same article year after year without the publisher's permission. Petty Cash Purchases
If you need to make minor purchases personally, remember that the petty cash limit is $49.99. Call the College of Graduate & Professional Studies to indicate what you need to buy, keep your receipts, and submit them to the Associate Dean. Remember that the total at any one time must be less than $50, so do not save up a number of small bills which total more than the maximum. Be sure to obtain receipts for postage; you may attach post office receipts to your travel vouchers or submit them separately.
