Other Pre-Workshop Responsibilities

Pre-Workshop Letter

All faculty MUST SEND A PRE-WORKSHOP LETTER to all participants approximately two weeks before the workshop. Late registrants should be sent the letter as names are received. The letter should welcome them to the workshop and should indicate to participants the format and general objectives of the workshop, as well as the performance standards. Also, include details about site location, cost of textbooks (if applicable), class hours, any pre and post-workshop assignments, room assignment, site changes, lunch facilities, and any other information that should be shared with participants about site location, parking, handicap access, etc. Examples of pre-workshop letters can be found here.

Faculty teaching on campus must include a temporary parking permit with each letter; parking permits will be distributed under separate cover as soon as we have final class sizes.


Pre-workshop Contact with District

Faculty working on campus would be wise to visit their assigned classroom in advance to make sure that all planned activities are feasible in the room. If the room is not useable, contact your department chair to locate another room. Be sure to inform your students and give clear directions in case your room is changed or hard to find.

Faculty working off-campus must contact the school district regarding final arrangements (room assignment, delivery of materials, unlocking and locking doors (if appropriate), near-by lunch facilities, etc.) Persons teaching in off-campus computer labs need to make an advance visit to ascertain that all equipment is as anticipated and any necessary software is installed and working, and passwords are considered. Travel expenses will be reimbursed to check out computer labs or to visit a site. Use the Contact Person Checklist to guide you in what types of questions to ask your off-campus contact person.


Class Lists

The College of Graduate & Professional Studies will mail class lists to you in time for your pre-workshop mailing. A final class list on the Thursday or Friday prior to the start of your workshop will be emailed to you. If you see new names, please contact the new students if there is information they need before the workshop begins. If you are an on-campus faculty member, your departmental secretary does have access to class lists and can provide you with updated lists. Go \ No-Go Decisions

All workshops must have at least seven registrants by the end of Monday two weeks prior to the start of the workshop; if not, the workshop will be canceled the next day. The two-week "lead time" will give students an opportunity to enroll in another course. The faculty member's school dean, in conjunction with the Associate Dean of Graduate & Professional Studies, will make the final go or no-go decision for each workshop.
