Important Facts, Enhancements and Changes

  • YOU MUST COMPLETE THE SET UP OF YOUR VOICEMAIL BEFORE YOU CAN RETRIEVE YOUR MESSAGES!
  • It is important and strongly encouraged that you record your name when prompted during the set up guide. If you don’t, you will be identified by the system’s speech engine according to the display as seen on your telephone.
  • Your default password is “1111” until you change it.
  • Pause a second, prior to pressing the # when recording any greeting or prompt, otherwise the very end of the recording can be deleted.
  • A delete folder is now available. If you accidentally delete a message and hang up – don’t worry. All deleted messages are saved for 30 days before being automatically purged by the system.
  • Pressing * will normally cancel what you are doing or return you to the previous menu.
  • New messages are not automatically read after entering your mailbox, press 1 to hear new messages. If there are no new messages, you will not be given the option to listen to new, read and/or deleted messages.
  • Busy greeting – during the tutorial you will be prompted to record a busy greeting. This greeting is played to callers when you are on the telephone.
  • Change Status (Main Menu, option 8) – allows you to “login” at the beginning of the business day and “log out” at the end of the business day. When logged in, the system will play the personal greeting; when logged out, the system plays the gone home greeting. Using this feature will allow you to provide information to callers after normal business hours. For example, “our normal business hours are…”

Quick Guide to Setting Up and Using Your New Voicemail

The first time you access your voicemail, you will be guided through the “Set up Wizard” prompting you to set a new password and record prompts that callers will hear when forwarded to your voicemail. The new system is very similar to the voicemail you have been using. Before starting, take a minute to read over the directions below and decide what your password will be and what you want your callers to hear. If you do not complete the set up, you will be presented with it again the next time you access your voicemail. In addition, the tutorial must be completed in order to retrieve your messages. Your password will be 1111 until you change it.

  1. Dial into the voicemail system - Press *5 or dial 3926 on-campus or 872-3926 off campus.
  2. First prompt will be to enter your new password – minimum of four digits recommended. It is recommended you do not use your four digit extension for security reasons.
  3. Note: after entering your new password, there will be a pause (approximately 5 seconds); you will be prompted to enter your new password again for confirmation; press # when finished.

  4. Record a personal greeting prompt. This is the message callers hear when you are not available. Example: “Hello, you’ve reached the voicemail of (name – for example, Sue and Dawn’s Room). We’re unable to answer your call, but please leave a message at the tone.” Press # when finished.
  5. Record a busy prompt. This is the message callers hear when your line is busy. Example: “Hello, we’re presently on the phone, but please leave a message at the tone.” Press # when finished.
  6. Record a gone home prompt. This is the message played to callers, if the Change Status – Option 8 (log in/log out) is used. Log in – callers hear the personal greeting prompt. Log out - Callers will hear the message recorded at this prompt. Example: “Hello, we’ve gone home for semester break but will return on______.”
  7. Record your name greeting. This is the prompt that voicemail uses to identify you to callers who send you messages.

You are now ready to begin using your voicemail.

After the Set up Wizard is completed, the following are the main menu prompts:

  • 1-Listen to Unread Messages
  • 2-Listen to Read Messages
  • 3-Mailbox Options
  • 4-Record Prompts
  • 5-Distribution List Maintenance
  • 6-Listen to read messages previously deleted
  • 7-(Not active at this time)
  • 8-Change Status
  • *-Disconnect
  • 0-Auto-attendant

Instructions for retrieving messages

Access/log in to your voicemail box (see 1 and 2 above)

The system will tell you how many unread and read voicemail messages you have in your box. If you do not have any unread or read messages, you will not be presented with option 1. Voicemail will simply tell you that you have no messages.
