Information Management System (IMS) Steering Committee

  1. Membership
    1. One representative from each department that uses the administrative computer system. A department with "regular" representative status is defined as a department that has received a recommendation for membership from its vice president and regularly sends a representative to IMS meeting.
    2. One ad hoc representative from each major administrative unit of Information Technology Division.
    3. Departments using the administrative computer system which do not have a regular representative may send a representative on an ad hoc basis.
  2. Functions
    1. Provide a forum to improve communication between Information Technology and the users of the administrative computing system.
    2. Review anticipated and current administrative computing projects and assist in determining the impact of these projects on administrative users.
    3. Review project priorities and make appropriate recommendations to the vice-president of Information Technology.
    4. Review project progress.
    5. Discuss and assist in the resolution of problems involving administrative user issues.
    6. Review the calendar of administrative computer services and provide input to ensure maximum use of the computer system.
  3. Organization
    1. Officers
      1. A chairperson and secretary are elected to a two-year term.
      2. Officers may serve a maximum of two consecutive terms. Officers who have served two consecutive terms may be reelected after a year of not holding that office.
      3. The term of office is October 1 to September 30.
    2. Duties of Officers
      1. The chairperson will prepare and distribute the agenda, conduct the meetings, appoint subcommittees when necessary, arrange for someone to conduct the meetings in his/her absence. Each semester he/she will prepare and distribute in advance the schedule of meetings, arrange for a meeting room, and initiate the election process and preside at the elections.
      2. The secretary will record and distribute the minutes of all regular meetings, maintain the committee roster, keep attendance records, and arrange for a person to record the minutes in his/her absence.
      3. The chairperson will represent the IMS Steering Committee at all the SSTF-Student Services Task Force meetings and report the results of such meetings to the committee.
    3. Elections
      1. IMS members who wish to be considered for an elected office must submit their name to the chairperson by the first meeting in May.
      2. Elections of all officers are held the second meeting in May.
      3. Only departments with regular representative status are eligible to vote.
  4. Modifications

  5. Changes in the structure and responsibilities of this committee may be made by the President.
