Submit Security Clearance Documents
'How To' Instructions
Follow the instructions provided to submit your documents to the Department of Field Services.
important:
- All Security Clearance documents must be submitted to the Department of Field Services through your new MAX account.
- Hard copies or documents submitted through other means will not be accepted.
- It is recommended that 'Complete Clearance Packets' be submitted in PDF format.
Processing Time:
Allow 5 - 7 business days for our office to review and process submitted clearance documents. Processing times may increase during periods of high volume.
SUBMIT CLEARANCE documents - instructions
Use Chrome as your browser. Contact the IT Help Desk directly for help with technical issues or issues with uploading your documents.

Step 1 - Access your Max Account
- Go to the MU 'Logins & Services Directory' page: MU Logins and Services Directory
- Select the 'myVille Portal' logo or 'Max' Logo.
- Complete the login steps as prompted. Once logged in, the 'myVille Portal' homepage will appear.
- On the 'myVille Portal' homepage, locate the area titled 'Account Information'.
- Select 'New Max - OneSIS' to access your Max account.
- The Max account homepage will have the heading 'Student Services' at the top. You are now in your Max account.

Step 2 - Submit your Clearance Documents
- On the Max homepage (the page with the 'Student Services' heading at the top), locate the box/menu titled 'Certification Students'.
- From the menu options listed, select ‘Submit Security Clearances' in the menu under the 'Certification Students' subheading.
- Read the ‘Submit Security Clearances’ page carefully for important information!
- Click ‘Submit Clearances Here!’ to begin.
- Note: Check your MAX account to view the clearance documents on file!
- Follow the instructions on the form.
- When documents (PDF format preferred) have been attached for upload, click the red ‘SUBMIT to Millersville University – Dept of Field Services’ button at the bottom of the page.
- Documents are NOT submitted until the red 'SUBMIT' button has been clicked.
- You will be directed to the ‘Clearance Documents Submitted’ message if correctly submitted.
- On the Max homepage (the page with the 'Student Services' heading at the top), locate the box/menu titled 'Certification Students'.

Step 3 - Receive Notification Email
Once your documents have been reviewed and processed, you will receive a notification email from Field Services (through your MU email account) directing your to check your Max account.
Go to STEP 4 - Check your Max account!It is important that you check the information in your Max account to make sure it is accurate and complete. Students may be dropped from any courses requiring clearances if clearance packet is incomplete or invalid.
NOTE: The review process will take several business days, or longer, depending on the time of year and volume of documents being processed.

Step 4 - Check your Max Account!
Confirm the document(s) submitted are reflected correctly in your Max account.
Check your Max account!
- View the Clearance "Dates of Issue" in your Max account.
- These are the dates of the documents on file. Instructions for how to view the dates of issue on file are available both on the website (link follows) and in the email sent to your MU email after your documents were reviewed.
- View Clearance 'Dates of Issue' in MAX Account | Millersville University
- After your documents are reviewed, the ‘Dates of Issue’ information will be updated and available in your Max account on the 'Student Profile' page.
- Verify you have a complete and valid clearance packet on file.
- Have you submitted all of the required clearance documents?
- Does the information provided match what you submitted?
- Does the information provided meet the requirements?
- Review this information carefully!
- Documents that are not on file will not be listed.
If you have questions regarding what is reflected in your Max account, email us (from your MU email account) at Field.Services@millersville.edu. Include your MU ID#.
- During times of high volume, phone/email response time and clearance processing may be delayed. For fastest response we encourage you to email your questions (include ID #).
- Field Services will communicate through your MU email account if there is a question or concern regarding the documents submitted.
- View the Clearance "Dates of Issue" in your Max account.
