How to Email All Your Advisees

Faculty using a Windows machine can easily access the MAX Advisee Listing page and email all of their advisees with a single click. However, Mac users will need to use Argos to copy and paste the email addresses into an Outlook email draft.

Department Secretaries can also use Argos to generate advisee listings by faculty. Argos provides a more detailed report than what is available in MAX.

    OPTION 1: ARGOS Detailed Report

    Requirements:

    • You must be on campus or connected via the Virtual Desktop.
      • If logging into Virtual Desktop, choose the “VMware Horizon HTML Access” option.
      • And then choose Windows 11

    Steps:

    1. Log into Argos and select Argos Web Viewer.
    2. Search for "Advisee Detail Report".
      • Location: Shared Reports → Student Data Reports → Advisor Reports
    3. Search by the advisor’s last name.
      • Enter last name then click on “Tab” on your keyboard
      • Click on your name in first box
    4. To export the list:
      • Click the gear icon at the bottom right of the table.
      • Choose Export all to CSV format, then Apply.
    5. Excel CSV file will display in the right hand corner of screen. You may open it directly from there or in your Downloads folder.
    6. Open Outlook on the Virtual Desktop and create email for your Advisees.
    7. Go to the Excel CSV file and highlight all the email addresses and paste them into the "To" field of your email draft.

Option 2: Mac MACHINE using MAX

    Steps:

    1. Open the Chrome browser and go to New MAX.

We understand this process isn't ideal. These steps are temporary workarounds while we continue to enhance functionality in New MAX.
